Contribution Processing Cutoff Dates for 2007-2008 Rotary Year

Please make note of the following:
For contributions to be counted in this Rotary year, they must be postmarked by 30 June 2008 and received at the bank lockbox by Sunday, 6 July 2008.

2008-2009 Fund Development Club Goal Report Forms Due Now

The 2008-2009 Club Goal Report Forms were due to the Secretariat on 15 May 2008. We continue to receive them daily via email, fax, and regular post. District Governors Elect are requested to submit their club goals for the Trustees to determine the worldwide Annual Programs Fund Goal. It will be announced at the Convention in Los Angeles on Tuesday, 17 June 2008. Foundation staff will need time to enter and tabulate the goals to present to the Trustees. Club Goal Report Forms can be emailed to: erey@rotary.org or faxed to: 1-847-328-5260. Staff at One Rotary Center and the various RI Offices is available to assist with questions as well.

Upcoming Changes to the Foundation’s Contribution Reports

The Foundation’s contribution reports are being updated as follows and will be available in the new Rotary year:

• Monthly Contribution Report: This report will become dynamic. Contributions entered today will appear on the report tomorrow. Club and district officers will be able to monitor their clubs’ contributions on a daily basis.

• Club Recognition Summary: The two columns for Rotary Foundation Sustaining Member Status are being replaced with the Date of the Last Contribution and Contribution Designation. This will help the club monitor if member contributions were given to the correct fund.

• EREY Eligibility Report: This is a brand new Annual Programs Fund report. It identifies Rotarians who are EREY, Rotary Foundation Sustaining Members and Paul Harris Society eligible. Clubs will be able to monitor their progress toward achieving EREY Club banner recognition (the club must achieve a US$100 per capita and every active Rotarian in the club must make a personal contribution in some amount to the Annual Programs Fund); 100% Rotary Foundation Sustaining Member Club banner recognition (the club must achieve a US$100 per capita and every active Rotarian in the club must make a personal contribution of US$100 or more to the Annual Programs Fund). It also helps clubs and districts identify those Rotarians who are eligible to participate or who may have renewed their membership in their district’s *Paul Harris Society (contributions to the APF of US$1,000 or more). *Note: This report shows PHS members who have contributed to the APF only. It does not include contributions to Polio or Matching Grants that some districts include as part of PHS membership.)

Matching Grants Updates

• The Matching Grant application has been revised for Rotary year 2008-09 and is now available. (The revisions took into account recent Trustee decisions requiring the signature of the district governor to authorize DDF and the revised Competitive Matching Grant submission deadline of 15 December.) Clubs and districts may begin submitting Matching Grant applications on 1 July 2008. The Guide to Matching Grants has also been updated and is available for download on the RI Web site.

• The number of Matching Grant applications submitted to TRF during 2007-08 increased 25% from the 2006-07 Rotary year.

Call for Applications

Please work with your districts to ensure that each one has submitted an endorsed application for the 2009-11 Rotary World Peace Fellowships (RWPF) and January and June 2009 Rotary Peace and Conflict Studies (RPCS) Program sessions. The deadline for completed applications to be submitted to TRF for these sessions is 1 July 2008.

Group Study Exchange

2009-10 District GSE Applications to be sent in July 2008

2009-10 District Governors will receive a 2009-10 District Application for participation in Group Study Exchange during the month of July 2008. Both a hard copy and an electronic version will be sent. In addition, this application will be available for download on the Rotary website. If your district is interested in receiving contact information for counterparts as you seek a 2009-10 GSE partner district, please contact your GSE coordinators at TRF. Districts interested in sending a second GSE team in 2009-10 will need to submit an additional, separate, district application to TRF. All completed 2008-09 District applications must be submitted to TRF no later than 1 October 2008; however, districts are encouraged to submit applications as soon as they are completed.

2008-09 GSE Materials Mailing

The GSE department is currently preparing its annual program materials mailing. In order to ensure that your district receive the box of mailed materials, please confirm with the GSE department, the name and mailing address of your district’s 2008-09 GSE Chair. All updates can be submitted to Hysan.Gearring@rotary.org.

The GSE department is moving to reduce the amount of paper materials sent to each district, and districts will note that there is an increased number of program CDs. We would like to encourage all districts to distribute the GSE CDs to interested applicants. Should your district require additional CDs, these can be requested from the Rotary website at no charge. Please contact your GSE Coordinator at TRF if you have any questions about requesting GSE materials online.

DRFC Chair Appointments

As of 1 July 2008, all DRFC chair appointments will need to be submitted on the attached form by fax, scanned and emailed, or mailed to:

Kimberly Evon will be preparing letters that RRFCs will be asked to distribute to the DGEs at GETS. These letters will include information regarding this new form. Please inform the 2008-09 DGs so they are aware of this change. In the case of resignations, policy questions, or requests for removal of cause, please encourage DGs to email TRF.Administration@rotary.org. SHARE Tip of the Month

A total of 200 districts have returned the2009-10 SHARE Package Receipt Form. Lists of the districts that have not responded are being compiled by zone and will be sent to you shortly. If you do not receive an email, then all of your districts have submitted the form.

A SHARE Transaction Detail report, Tagged DDF report, and DDF donation form are being sent via email to every district before the end of May. This annual mailing is to advise districts of how much DDF remains unidentified in 2007-08. Please consider donating any uncommitted funds by 30 June. The materials are being sent to the DG, DGE, DRFCC, and the subcommittee chairs for Grants, PolioPlus, Peace Fellows, and Scholarships.

Scholarships Fund Pool for Low-Income Countries

All districts - both high and low-income - are encouraged to donate any amount of DDF to the fund pool as they plan their DDF spending for program year 2008-09. All districts and low-income countries within a district may submit scholarship applications to compete for up to 32 Ambassadorial Scholarships awarded annually through the fund pool. All applications are considered on a world-competitive basis by a Trustee-appointed committee. The deadline to submit applications is the same as for all 2009-10 Ambassadorial Scholarship applications: 1 October 2008.
